GST Invoice Format — Rule 46 Compliant, Free Download

What is GST Invoice Format?

A GST invoice format (or GST tax invoice) is the official document that a GST-registered business uses to record a sale of goods or services. It's the legal proof of transaction required under the CGST Act Section 31 and defined in GST Rule 46.

Unlike a simple bill or receipt, a GST invoice must include specific mandatory fields: seller's GSTIN, buyer's GSTIN, HSN/SAC codes, taxable value, and tax breakup (CGST, SGST, or IGST). When both seller and buyer are GST-registered, the buyer can claim Input Tax Credit (ITC) based on this invoice.

For B2C sales (buyer not GST-registered), you issue a "Bill of Supply" instead. GSTBill supports both—it automatically detects and generates the right format.

Quick fact: In India, every GST-registered business must use invoicing software or a proper format. Handwritten invoices are technically valid, but fields are often missing. GSTBill automatically ensures that all Rule 46 fields are present.

GST Rule 46 — Complete Mandatory Fields Table

Har GST invoice mein ye fields zaroori hain. GSTBill auto-populate karta hai — aapko manually type nahi karna padta.

1 Invoice Number Unique number assigned by seller (e.g., INV-001). Must be in sequential order. Not auto-generated—you must assign it.
2 Invoice Date Date on which invoice is issued (DD/MM/YYYY format). GSTBill auto-fills with today's date.
3 Seller's Legal Name Legal name as per GSTIN registration. GSTBill auto-fetches from the GST portal when you enter the GSTIN.

21 SGST Amount (if intra-state) State GST. Other half. SGST = 50% of GST. GSTBill auto-calc karta hai.
22 IGST Amount (if inter-state) Integrated GST. Full rate if seller aur buyer different states mein. IGST = 100% of rate. GSTBill auto-calc karta hai.
23 Total Tax Amount CGST + SGST + IGST = Total tax. Auto-calculated.
24 Grand Total (Tax Included) Taxable value + Total tax = Amount to be paid. Auto-calculated.
25 Place of Supply State code where delivery happens (determines which GST applies). Auto-extracted from buyer's address/GSTIN.

GST Invoice Format in Excel — Step By Step Kaise Fill Karein

Excel template ko fill karte hue detailed guide. Formulas already built-in hain — sirf data enter karo.

  1. Seller Information Fill Karo (Top Section)

Apne company ka GSTIN, legal name, trade name, address, state code, email, phone. Ye sab ek baar enter karo — Excel save kar lo. Agle invoices mein ye auto-populate hoga.

  2. Invoice Number & Date Enter Karo

Har invoice ko unique number dena padta hai (sequential order mein). Date automatically set hai current date se, lekin edit kar sakte ho agar past invoice ho.

  3. Buyer Details — GSTIN Se Auto-Fill (B2B) Ya Manual (B2C)

Agar buyer GST-registered hai: GSTIN enter karo — Excel formula se buyer ka legal name, address, state code automatically fetch hota hai (agar auto-fetch formula laga hai). Agar B2C hai (consumer): buyer ka naam, address manually enter karo, GSTIN blank chhod do.

  4. Items & HSN Codes Add Karo

Har product ke liye: Item description, HSN/SAC code, quantity, unit price. Excel formulas automatically calculate karenge taxable value per item (quantity × unit price).

  5. GST Rate Select Karo (From Dropdown)

Har item ke liye applicable GST rate select karo: 0%, 5%, 12%, 18%, 28%, or composition (5%). Excel dropdown mein options pre-filled hote hain.

  6. Place of Supply Auto-Detect (Buyer's State)

Excel formula buyer's state code se automatically detect karta hai. Iska basis: seller ke state ≠ buyer ke state → IGST. Same state → CGST + SGST.

  7. Tax Calculation Auto-Happens

CGST, SGST, IGST amounts Excel formulas se auto-calculate hote hain. Har line item mein, aur total mein bhi.

  8. Grand Total Calculate Karo

Total taxable value + total tax = grand total (amount buyer ko pay karna hai). Auto-calculated.

  9. Save, Print Ya PDF Export Karo

Invoice complete ho gaya. Excel se print karo (print-friendly format already set hai) ya PDF export karo (File → Export as PDF). Email, WhatsApp, postal mail — jo bhi medium use karna ho.

B2B vs B2C Invoice Format — Kya Fark Hai?

Buyer GST-registered hai ya nahi — ye decide karta hai aapko kaunsa format use karna hai.

B2B Invoice (Tax Invoice)

Kab: Buyer GST-registered hai.

Buyer's GSTIN: Zaroori hai invoice mein.

Buyer's Address: Registered address zaroori hai.

ITC Eligible: Haan. Buyer apne input tax credit claim kar sakta hai.

HSN/SAC: Zaroori (Rule 46).

Taxable Value Breakdown: Har line item mein taxable value zaroori.

Example: B2B supplier, wholesaler, retailer — ye format inka standard invoice.

B2C Bill of Supply

Kab: Buyer GST-registered nahi hai (consumer/end-user).

Buyer's GSTIN: Nahi chahiye (optional). Buyer ka naam, address enough hai.

Buyer's Address: Koi specific format nahi. "Mr. Raj Patel, Mumbai" chalega.

ITC Eligible: Nahi. Buyer input tax credit claim nahi kar sakta.

HSN/SAC: Optional (required sirf specific categories mein).

Taxable Value Breakdown: Simpler format ho sakta hai. GST amount clearly show karna zaroori hai, lekin CGST/SGST separation zaroori nahi.

Example: Online seller, small retail shop — ye format use kaarte hain.

Pro Tip: GSTBill.app dono formats automatically generate karta hai. Aapne buyer GSTIN enter kiya? App B2B tax invoice generate karta hai. GSTIN nahi diya? Bill of supply generate karta hai. Manual detect karna padta nahi.

Frequently Asked Questions — GST Invoice Format

GST invoice format aur GST bill format mein kya difference hai? +
Technically, "GST bill" aur "GST invoice" same cheez hain — dono ek GST-registered business ka official transaction document hain. "Invoice" legal term hai GST Rule 46 ke according, jab "bill" casual language mein use hota hai. Practically, dono mein same mandatory fields hote hain. GSTBill.app dono terms ke liye same format use karta hai. Doosra option "Bill of Supply" hai — ye tab use hota hai jab buyer GST-registered nahi ho ya goods GST-exempt hain.
GST invoice format Excel mein kaise fill karein — step by step kya hai? +
Excel template download karo. Step 1: Apne company details top mein fill karo (ek baar). Step 2: Invoice number aur date add karo. Step 3: Buyer ka GSTIN or naam/address enter karo. Step 4: Items add karo — product name, HSN code, quantity, rate. Step 5: GST rate select karo dropdown se. Step 6: Excel formulas automatically calculate karenge taxable value, CGST/SGST/IGST, grand total. Step 7: Save, print, ya PDF export karo. Template pe formulas already hote hain — aapko manually calculate nahi karna padta.
B2C invoice mein buyer ka GSTIN zaroori hai? +
Nahi. B2C mein (buyer consumer/end-user hai), buyer ka GSTIN nahi chahiye. "Bill of Supply" format use karte ho. B2B mein (buyer GST-registered hai), buyer ka GSTIN zaroori hai — otherwise buyer input tax credit claim nahi kar payega aur payment recovery mein problem ho sakti hai. GSTBill.app automatically detect karta hai: GSTIN enter kiya → tax invoice. GSTIN nahi diya → bill of supply.
GST invoice format mein HSN code kya hai aur kab zaroori hai? +
HSN = Harmonized System of Nomenclature — ye ek 4-digit code hai jo product ko classify karta hai (e.g., 6204 for cotton garments). Har product ka apna HSN code hota hai. GST Rule 46 ke according, agar last FY mein aapka taxable turnover 5 crore se zyada tha, toh HSN code zaroori hai. Agar 5 crore se kam tha, HSN optional hai, lekin include karna better hai. Services ke liye SAC (6-digit) code use hota hai.
Kya handwritten GST invoice format valid hoti hai? +
Technically haan, handwritten invoice valid hoti hai agar sab Rule 46 mandatory fields present hain aur properly signed hai. Lekin risky hai. Handwriting mein: typos risk hai, field miss hone ke chances high hain, buyer input tax credit claim reject ho sakta hai, GST audit mein problem ho sakta hai. Printed, digital, ya PDF format much safer aur professional hota hai. GSTBill aur Excel templates use karo — handwritten se bachne ke liye.
GST invoice mein CGST, SGST, IGST — kaunsa lagatein aur kaise decide karte hain? +
Rule simple hai: seller aur buyer same state mein hain (GSTIN ka pehla 2 digit same) → CGST + SGST lagatein (rate 50-50 divide ho ke). Different states → IGST lagatein (full rate). Place of supply = buyer's state aur delivery location. Example: Delhi seller (27) to Mumbai buyer (27 — wait, wo to different state hai). Agar Mumbai buyer (27) to Delhi (07) → IGST. GSTBill app automatically seller aur buyer state codes compare karke decide karta hai — manual detect nahi karna padta.
GST invoice format PDF, Excel, Word — kaunsa choose karu? +
PDF: Agar sirf print-and-send karna hai. Professional, fixed format, sending ke time corrupt nahi hota. Excel: Agar multiple invoices manage karne hain, saved templates chahiye, formulas reuse karne hain. Edit bhi kar sakte ho, auto-calculate bhi. Word: Agar branded template chahiye, custom logo, colors add karne hain. Print-friendly ho sakte ho. GSTBill best option: sirf 60 sec, no file management, auto-fill, PDF seedha WhatsApp pe.
